OCR transcripts and searchable PDFs are different outputs
Learn what OCR recognizes, why errors occur, and why a text transcript does not automatically make a scanned PDF searchable.

A scan starts as a picture of text
A scanner records pixel patterns. OCR interprets those patterns as characters and may estimate their reading order. A successful recognition pass does not establish that every character matches the source.
Printed letters on a straight, clear page are a better starting point than handwriting, glare or an angled phone photograph. Closely spaced columns and tables create another problem: characters may be recognized but placed in the wrong order.
Transcript versus text layer
A TXT transcript stores recognized characters separately. A searchable PDF additionally needs text positioned alongside the page image so searching and selection correspond to page locations. Tesseract supports searchable-PDF output in some integrations, but that does not mean every application built around OCR exposes it.
The current GXA Image OCR and OCR PDF workflows export text. They do not claim to add a searchable layer to the original PDF. Choose another appropriate workflow when that exact deliverable is required.
Proofread high-risk characters first
For an invoice, compare dates, identifiers, decimal separators and totals character by character. For a letter, inspect names and line breaks. Confusion between zero and the letter O can matter even when the rest of a page appears correct.
Keep the page image beside the transcript during correction. A reported confidence value or a completed progress bar is not a substitute for comparison.
Language and source quality limits
This deployment uses an English model. Other scripts and handwriting are not promised to work. Model files must load before first recognition; blocked dependencies can make an otherwise valid image fail.
If a PDF already has selectable text, use PDF to Text first instead of recognizing its pixels again. That avoids introducing recognition errors into wording already present in the document.
